Here Are Six Ways the New Outlook for Windows Saves Me Time

Since its release, I have been a satisfied user of "new Outlook for Windows," making use of its simplified email, calendar, and contact management capabilities. These are my top recommendations for maximizing Outlook's capabilities so that I may be more productive and save time.  

In addition to saving me a ton of time when I use Quick Steps in Outlook, the quick action menu also helps me save time because it eliminates the need for me to navigate between all of Outlook's sections in order to create anything.  

I can make new files in Word, Excel, or PowerPoint, as well as new emails while in the calendar area and events from the mail section.

Find the long blue button in the top-left corner of Outlook (it may say "New Mail" if you are in the email section) and click the drop-down arrow to view the available options.


2 Use One App to Access All Email Accounts

Outlook provides a centralized location for managing several email providers. Because I do not have to enter into several accounts on a browser, I can use Outlook to compose an email from Gmail, Microsoft, or any other email account. This saves me a ton of time.  In Outlook, to add an account, select the "Add Account" link located at the bottom of the Favorites area on the left menu, then follow the on-screen instructions.


3 Avoid Clutter in Your Inbox by Sleeping on Emails

The ability to delay my email until a later time is another function that I use virtually every day. When you use the snooze feature, an email thread is put into a different folder named "Snooze" and left there until you specify the time and date. Outlook returns that email thread to your Inbox when that time and date arrive. More than any other feature, this one has prevented clutter from entering my inbox.  Right-click the desired email thread, select "Snooze," and then select a time frame.


In the "Select Custom Date and Time" window, choose the time you would like to snooze that email thread if you choose to "Choose a Date."


4 Utilize Various Calendars From Various Accounts

I have integrated calendars from other accounts into Outlook in addition to using separate accounts to send emails from Outlook. My event planning is made so much easier by the ability to engage with events created in both my Microsoft and Google calendars in Outlook.  Click the "Add Calendar" link from the menu on the left, then follow the instructions to add the appropriate calendar to Outlook.


I chose to "Create Blank Calendar" in the example below. Adding a calendar from the internet or a directory is another option.


5 Use Calendar Sharing To Work Together Easily

One of the best ways to work together is to share a calendar with someone. Sharing my calendar with others—and vice versa—while collaborating on a project is an excellent method to keep track of appointments and events.  Click the "Share" button in the top ribbon menu menu and choose the relevant calendar from the drop-down list to share your calendar.


Then, just adhere to the instructions to share your calendar.


6 Use Phone Link to Place Phone Calls

Outlook and Windows both come with the Phone Link application. The option to call someone from an Outlook contact using the Phone Link app is one of the really cool features that I use quite a bit.  I save so much time and find it really helpful that I can make calls at my PC without fumbling with my phone.  Just click the "Call" button next to the contact's name to start a call.


From the first prompt, choose "Open." Next, select the Phone Link app from the list of available options. Finally, choose "Always" or "Just Once."


I have been using Outlook both personally and professionally for over 20 years. It is been amazing to watch it develop into the tool it is today. I cordially encourage you to use Outlook if you have not had an opportunity to recently. You might be surprised at what you find helpful, in my opinion.
